Background
The Corporate Communications team works under the direction of the Director of Corporate Communications. This dynamic team includes a Communications Review Manager and Communications Review Specialists, Proposal Specialist, Public Relations Specialist, as well as a Social Strategy and Content Manager and a Social Media Specialist. Corporate Communications is in the process of expanding resources to build a team dedicated to researching and responding to solicitations from companies across industries looking for products and services the Careington family of companies offer, as well as the development of custom sales proposals and presentations to support sales initiatives. The Corporate Communications team works closely with the Marketing team, and together, these teams create, develop and edit all print and digital efforts for Careington, its affiliate companies and its clients and partners.
The Opportunity: Communications Proposal Manager

Careington is seeking a Communications Proposal Manager to join its growing Corporate Communications team. In this role, you'll support the Corporate Communications team by helping to develop custom proposals and support bid opportunities for new business pursuits at Careington and affiliate companies. This new role will work together with a team of proposal specialists to solicit input from cross-functional teams to create winning responses to Request for Proposals, Request for Information, Request for Qualifications and other sales-related questionnaires. The Communications Proposal Manager will oversee the completion of all RFPs and custom proposals, ensuring the team consistently delivers responses that adhere to all defined requirements, including polished, sophisticated and competitively positioned content that meets critical deadlines. The position will play an integral role for the Corporate Communications team and will provide you with exposure to all the products and services Careington and its affiliate companies offer in the health and wellness benefits market. This unique and dynamic role will also provide high-level exposure to leadership at all levels and will be pivotal in ensuring all necessary feedback is gathered from key stakeholders across the company.
Role & Responsibilities
- Manage team of two proposal specialists dedicated to RFPs, RFIs, RFQs, questionnaires and custom proposal development
- Oversee research and sourcing of relevant solicitations that align with the scope of products and services offered by Careington and affiliate companies
- Evaluate bid opportunities to ensure the company can deliver all requested products and services, which may entail asking key stakeholders for feedback
- Work closely across teams to distribute assignments, gather answers to questions, refine responses and organize supporting material to meet critical deadlines for all bid opportunities and other types of questionnaires
- Develop new content as well as utilize existing content from repository for responses to RFPs, RFIs, RFQs and other similar opportunities
- Collaborate with stakeholders to define the requirements of RFPs and help generate well-written and organized responses
- Provide guidance to the team on the best approaches to assignments, content creation, supporting documents, meeting deadlines and compiling competitive RFP responses
- Guide team on new and existing content to be utilized for RFPs, custom proposals and other communications, offering suggestions for enhancements to tailor to each opportunity and target audience
- Translate technical information and business jargon into clear, consistent and compelling content
- Capture and shape information to reflect a cohesive message, putting a marketing spin on responses
- Collaborate with graphic designers as needed to build creative and innovative material
- Prepare completed proposals, which entails editing and finalizing all content, completing and organizing all required forms and supporting documents and creating the final proposal submission
- Respond to RFPs/RFQs/RFIs within deadlines through the assessment of requirements, utilization and coordination of resources, information and response gathering and task prioritization
- Submit RFPs/RFQs/RFIs via hard copy, electronic and bidding systems
- Maintain RFP tracking record of all RFP responses and results to provide consistent feedback to sales leadership
- Identify meaningful ways to streamline the overall RFP process over time, in an effort to save time to result in a more efficient and effective RFP and proposal process
- Oversee maintenance of library/repository of RFP responses to save time for other departments and subject matter experts
- Implement RFP "best practices" in a proactive attempt to ensure Careington's brand, its products and services and those of its partners and clients are well represented in a compelling and competitive way
- Develop content for high-level custom sales proposals, presentations and other corporate communications
- Ensure team produces quality work that meets short-term and long-term deadlines in a consistent manner
- Prioritize and multi-task in a fast-paced, deadline-driven environment
Qualifications
- Bachelor's degree in Journalism, Communications, English, Public Relations, Marketing, Advertising or related field
- Minimum of 3 years of working in related field - experience with development of RFPs and proposals highly desirable
- Understanding of health care benefits industry is a plus, but not required
- Excellent verbal and written communication skills
- Superior attention to detail, organization and project management skills
- Strong command of writing and editing practices utilizing Associated Press Stylebook guidelines, which is a provided resource for the role
- Interest in developing skills and experience in corporate communications
- Highly detail-oriented and disciplined with the ability to multi-task and operate in a fast-paced environment
- Experience managing multiple projects simultaneously, keeping track of deadlines
- Managerial experience a plus, but not required
- Experience with proposal management and RFP responses software a plus, but not required
- Ability to prioritize projects in a timely and efficient manner
- Ability to work with cross-functional teams to help execute projects
- Working knowledge of Microsoft Office, including Word, Excel and PowerPoint
- Familiarity with Adobe Acrobat Pro a plus, but not required
- Familiarity with all facets of proposal development lifecycle a plus, but not required
