What is the opportunity?
You will provide support on the day-to-day to the Head of Advice Centre, RBC Insurance by completing administrative and operational duties. You will also independently manage duties allowing the Head, Advice Centre to focus on the activities which contribute to the achievement of client experience and business objectives. To be successful, you will have a solid understanding of the Head, Advice Centre objectives, along with the business knowledge to communicate and work effectively with them, partners and clients.
What will you do?
- Manage Head, Advice Centre's e-mail/mail/calendar, including proactively responding to correspondence/requests & prioritizing for Head, Advice Centre to read plus schedules meetings, books meeting rooms, appointments and client and staff events.
- Gather and prepare material required by Head, Advice Centre for presentations, meetings, etc.
- Build and maintain a high level of organizational awareness and a network of RBCI contacts to effectively manage and provide support
- Contribute to organizing and coordinating internal and external meetings and events such as market events and meetings for clients and employees (incl. invitations, equipment, agenda, food, etc.), leveraging available technology to enable virtual collaboration.
- Assist with employee on-boarding / off-boarding activities (HR paperwork, equipment order/set-up, systems access, orientation / information on various RBC set-up activities such as corporate visa card order)
- Manage office routines and expenses ensuring efficiency is maintained (i.e. invoice processing, stationary orders, internal / external mail and courier, input of vacation & absences, office access card control, equipment inventory control, address premises related issues, co-ordinate off-site storage, oversight of electronic storage)
- Assist and complete ,where required operational and compliance duties in a timely and accurate manner (i.e. privacy, BCP, building safety, ensuring necessary documents up-to-date and on-file such as DLA’s, Mobile Privacy Checklist)
- On a monthly basis prepare Visa Expense Card statements for Head, Advice Centre and where appropriate for their direct reports, follow up on missing items, reporting actionable items to Head, Advice Centre
- Maintains vacation calendar for both locations providing weekly recap via email of vacations and outside activities
What do you need to succeed?
Must-have
- Minimum 3 years of experience as Administrative Assistant, Preference given to those with Executive Assistant experience.
- Must possess excellent interpersonal / communication skills.
- Must be able to recognize and prioritize critical situations and act to resolve independently in a confidential manner.
- Must have ability to act decisively in the absence of the Head, Advice Centre.
- Must possess above average organization, planning and administrative skills.
- Must be proficient with Micro Soft Word, Excel, Outlook Power Point and Project Management
