The Office of the Vice Provost for Undergraduate Education oversees programs and initiatives in support of outstanding academic experiences for all IU Bloomington undergraduate students. It provides advising, testing, and enrichment resources for students at all stages and leads initiatives that assess, support, and improve undergraduate teaching and learning. Job Summary


Department Specific Responsibilities

  • Provides front-line student records support for Office of the Vice Provost for Undergraduate Education (VPUE) policies and student records maintenance, including processing nondegree and reinstatement applications as well as other student records-related forms, submissions, and requests from students and other IU staff.
  • Processes program/plan stack changes in IU’s Student Information System (SIS) for students within VPUE.
  • Assists in regular and seasonal team projects such as academic status review and new student orientation and advising.
  • Assists as needed reception for general advising services in the VPUE Wells Library suite.
  • Maintains knowledge about IU and VPUE policies for explanation via email, phone, and in person to students and other parties while adhering to strict FERPA guidelines.

General Responsibilities

  • Coordinates data collection and records processing activities; instructs others in edits and file update procedures.
  • Reviews requests for updates to student records and resolves discrepancies or problems; updates student records regarding grade changes, incompletes, withdrawals, drop and add, etc.
  • Serves as resource person to students, faculty, school recorders and staff, campus registrars, and others involved with student academic record keeping; responds to inquiries regarding academic records. Reviews records for accuracy.
  • Reviews, classifies according to type, and processes certification requests. Responds to inquiries from students regarding status or degree requirements.
  • Updates and analyzes degree records from transfer reports; codes and enters data; maintains files and data bases; updates and purges as necessary to ensure accuracy and completeness.
  • Analyzes and enters exceptions to system; determines probations and dismissals; notifies student of status.
  • Processes mail-in certification requests; reviews and classifies requests; responds with appropriate information.

Qualifications


EDUCATION

Required

  • High school diploma or GED

WORK EXPERIENCE

Preferred

  • Some experience in customer service, higher education, or related field

Working Conditions / Demands


This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary


$15.00 - $15.50 per hour
