Senior Global Travel Operations Coordinator
True Nature (TN) is a locally owned (Asheville, NC) holistic travel company which specializes in facilitating international travel programs to destinations around the world.
True Nature Travel's mission is to provide the highest quality wellness, adventure, andeducational travel experiences for our guests and leaders to explore their inner and outer “True Nature” while also giving back to the diverse communities we visit around the world.
TN is currently seeking a Travel Operations Coordinator to join our Operations Department and our team.
TN is looking for a positive-minded, enthusiastic, driven, and efficient working team member. It is important that this team member is independent, self-motivated, and feels a sense of passion for the values and mission of True Nature. It is a bonus if you are based in Asheville, North Carolina or in the surrounding regions.
Position Overview
Travel Operations Coordinators at True Nature are responsible for making sure each and every travel program runs smoothly. From the moment a group leader signs their contract to the day they receive their commission check in the mail, the Travel Operations Coordinator is there to guide them through the process of running a successful program. The key responsibility of the Travel Operations Coordinator is to act as the liaison for the leaders and take care of all the details involved in planning and executing a successful retreat.
Roles and Responsibilities
● Serve as the liaison between True Nature Travels and all of our group leaders, acting as a professional and friendly face for the company.
● Work with leaders to list all new programs on the True Nature Travels website, set up the early bird schedule for their program, and get program registration open for enrollment.
● Hold monthly enrollment meetings with the Operations and Marketing departments to assess current enrollment levels and upcoming early bird deadlines and to determine how to support leaders in boosting enrollment.
● Assist in keeping track of the cancellation and room release deadlines for each program.
● Work with leaders to create a schedule for mealtimes and activities for their program.
● Work with the Participant Operations department to manage the details of the program and make sure any issues with participants and registration are handled in a timely manner.
● Hold weekly program summary meetings with the Participant Operations department to go over any open items and review the status of upcoming programs.
● Liaison with venues to make sure details are organized in advance so that everything will run smoothly when the group arrives in their host country.
● Contact in-country tour providers to organize group activities or tours during the program.
● Draft and send letters to the leaders, participants, venues, and tour providers to keep all involved on the status of the program and informing them of important information.
● Host a phone call with the program leader(s) before they leave and after they return to prepare them for their program and to review feedback related to the program, venue, andTrue Nature’s services.
● Answer any questions or concerns leaders or venue contacts have at any point.
Required Skills
● Lead operations, event planning, travel and management experience
● Must be efficient, sharp, reliable, available, friendly, and self-motivated
● Excellent written communication and verbal skills
● Ability to handle multiple tasks and execute projects with strong time management skills
● Critical thinking skills and attention to detail
● Experience with Google Drive
● Experience with spreadsheets and proficient working with numbers/finance (Google
Sheets, Excel, etc.)
● Fast internet connection (Please provide a screenshot of your internet speed)
